What is a Letters of Reference File (LOR File)?
The Letters of Reference File is a collection of letters written on the student's behalf for potential applications for graduate study or academic employment in K-12 and Higher Education settings. It serves as a convenience for those who write recommendations. Rather than write a separate letter for each of many applications, the author writes one letter which remains on file whenever needed. Many academic institutions and employers refer to the Letters of Reference File as a "placement file."

How do I open a Letters of Reference File?
Students should log in to ScotLink and select the Reference Files Tab . Complete the personal data form and submit your credit card payment. Your file will be approved immediately.

Alumni  setting up a file for the first time must contact our office via email . The subject line should read: "Alumni LOR Request." Include your full name, current mailing address, email address, and phone. It would also be helpful to include your UC Student ID Number if you know it. After receipt of your request, an account will be set up for you and you will be able to log on to SCOTLink and pay for services via credit card.  The process most often is approved on the same day, it may take up to 48 hours for alumni.

How does the file system work?
After the online application is completed and fees have been paid, file owners may use the system to request references via email. If you don't have an email address for the person you are contacting then download the Letter Request Form and mail it to your reference to request that a master copy of a reference letter be sent to our office.

When all desired letters are in the file, an applicant may log on to the Website and choose Reference Files and then Orders. By choosing "Add New" at the bottom of the page, you will go to the Recommendation Order Page. A drop-down menu marked "Recommendations" lists all of your completed letters. Choose those that you wish to be sent. Complete the rest of the form and submit your credit card payment. (Note: If you choose any other type of payment, your request will not be processed until payment is received.)

Why a confidential file?
A confidential file is one for which the student has signed a waiver of the right to examine the contents of the file. Most graduate and professional programs will only accept letters to which a student has waive his/her rights to view the contents of the letter. They feel that references are more likely to be frank and candid if the student will not have access the letter.
